Dayton Hamvention® Prize Booth Rules

The vendors, manufacturers, and dealers who are at Hamvention® have donated prizes to be awarded by the Dayton Hamvention Prize Committee. If you win a prize, please go to the organization that donated it and thank them! Prizes are drawn from the prize drum located in the prize booth on the schedule indicated above. Ticket deposits into the prize drum will stop just prior to each drawing. All times listed are Eastern Daylight Savings Time (EDST).

Tickets collected by Prize booth workers along the fence line during the time a drawing is underway will be deposited in the drum after hourly and bonus prize drawings are completed.

Winning ticket numbers will be posted on prize monitor displays in Buildings 1, 2 & 3. It will take about 10 minutes for all numbers to be posted following a ticket drawing. Consult the map in the Hamvention® program for the location of Prize monitors.

Our Goal is to have hourly but not all are hourly. Prize drawings are based on the number of prize donations received.

Eligibility for drawings:

  • Only one entry per person is allowed.
  • Hourly and Bonus drawings: An HV ticket purchased by anyone 18 years of age or older that are placed in the drawing drum prior to that particular drawing.
  • Students, under 18 years of age: Tickets for students under 18 years of age are placed in a special student only drawing drum prior to those drawings.

Hourly, Bonus and Student Ticket Prize Drawings: After each hourly drawing, those winners are posted on the displays around the show grounds. To claim the prize, the winner must come to the Prize Booth in person and present the other half of the ticket along with an ID which proves identity. Only one prize per person. Hourly and bonus drawings cannot be retrieved or claimed by a third-party person. All hourly and bonus drawing prizes must be claimed not later than 1 p.m. on Sunday. Those not claimed by then will be redrawn.

Final Drawings and Major Prize Drawing (Sunday after 1 p.m.): During the final drawing, leftover hourly prizes are drawn first. You must be present to win these leftover hourly prizes. Final Major Prize Drawing winners do not need to be present to win. Those winners will be notified, if not present, via the contact information provided on the drawn prize ticket. Notifications will be attempted for 21 days before an alternate ticket is chosen for the prize recipient. Prizes must be accepted no later than 14 days after notification. Final Drawing winning ticket numbers will be posted on the HV and ARRL web site.

Selection and Notification of Winner: Winners will be selected by random drawings. If a potential winner: (a) is not in compliance with these Official Rules, (b) does not meet the eligibility requirements, (c) declines the prize, (d) does not provide contact information, (e) does not respond by the deadline indicated by the notification, or (f) does not sign and return required documents and/or provide required identification by deadlines established, he or she will be disqualified. If a prize drawing winner cannot be awarded the prize, alternate tickets are drawn and kept on file.

These drawn tickets are used in the order drawn and are used in the order that refusals or disqualification is received to award the prize to another winner. Unclaimed prizes may be returned to the sponsor or retained to be awarded at future HV events.

Publicity: Winner, by accepting the prize, grants to HV full permission to use the winner’s name, likeness, photograph, voice, opinions, and/or hometown and state, and any portion thereof for purposes of for HV advertising, and promotional purposes without further compensation and without notice, review, permission, or approval, in all media and on the internet and world wide web, unless prohibited by law.

Miscellaneous: HV distributes these prizes from Vendors as a pass through transaction By participating in the drawing, all entrants agree to release HV, sponsor, its clients, vendors, and exhibitors from any and all liability for any loss, harm, damages, costs, or expenses, including without limitation property damages, personal injury and/or death, arising out of participating in the drawing, or the awarding, acceptance, possession, use or misuse of any prize awarded. Entrants waive all rights to punitive, incidental and/or consequential damages, or any other damages, including attorneys’ fees. In the event the drawing cannot be held, including cancellation of the event, or other reasons beyond HV’s control, HV reserves the right to terminate or modify the drawing in its sole discretion to be equitable and fair for all eligible entries received prior to the cancellation or termination of the drawing. If a prize becomes unavailable, HV will work with the Vendor to be equitable and fair in providing for a replacement prize of similar function and value. HV and the Vendor reserves the right to terminate, cancel or modify the prize. Persons found tampering with or abusing any aspect of the drawing, or who HV believes is causing errors, disruptions or damage will be disqualified. HV's decisions with respect to the drawing are final. HV reserves the right to add to or change these rules at any time subject to applicable laws and regulations. IRS Reporting Requirements; Notice to Winners: The value of the prize received by the winner in a drawing is included in the winner’s gross income. Payments of all federal, state, and local taxes are the sole responsibility of the Winner. When the value of the prize is greater than $600, we are required by the IRS to submit an IRS Form 1099-MISC for prizes. Winners must complete an IRS Form W-9 and returned to HV. We will provide winners with this W-9 form. Please complete the IRS Form W-9 and return it to us either in person, e-mail, or regular mail. Your Form W-9 must contain your full name, complete mailing address, and your Social Security number. Don't forget to sign and date the form. Once the HV Prize Committee receives your completed Form W-9, we will present or ship your prize to
you.

Choice of Law: All issues and questions concerning the construction, validity, interpretation, and enforceability of these rules, or the rights and obligations of entrants, sponsors, and exhibitors in connection with the drawing, shall be governed by, and construed in accordance with, the substantive laws of the State of Ohio.
